API & CRM automation.
Customer record system and automation tuned per category. Order events, payment events, ban events, and recovery events wired into the marketing stack — so a Stripe freeze or a Meta ban automatically triggers the relevant comms playbook, and the operator doesn’t have to remember to switch the messaging mid-crisis.

- Reconciliation across processor, fulfilment, and marketing systems
- 01
CRM placement
HubSpot, Pipedrive, Close, or Mautic depending on category tolerance, data residency, and budget. Different CRMs accept different categories.
- 02
Event wiring
Order, payment, ban, recovery, support events captured from each system and routed to the CRM. Webhook architecture that survives single-vendor outage.
- 03
Automation playbooks
Triggered automations per event type. Customer abandons checkout → trigger A. Stripe declines a charge → trigger B. Processor freezes → trigger crisis-comms playbook C.
- 04
Reconciliation
Weekly reconciliation between processor settlements, fulfilment shipments, marketing-attribution data, and CRM records. Identifies leaks and lost revenue before they compound.
01 Will HubSpot ban me for my category?
For some yes, for others no. CBD with COA, adult-tolerant retail, vape hardware, supplements: routinely. Cannabis flower, peptides, RC, prescription pharmacy: HubSpot terminates. We migrate to Mautic (self-hosted) or Close for categories HubSpot won’t accept.
02 Can I keep my current CRM?
Usually yes — we work with whatever you have. The integration work is the same; the CRM is just the destination. If your current CRM is structurally wrong for your category (data residency, tolerance, scale), we’ll flag it but we won’t force a migration.
03 How long does CRM and automation setup take?
4–8 weeks for a standard setup. Faster if you’re replacing an existing CRM and the data migration is clean; slower if event wiring needs to integrate across 5+ systems.
